Executive Assistant, on-site, New York City

About the Role

Seso Labor is growing quickly. We are looking for an Executive Assistant to support our C-Suite and other business leaders from our New York City offices. You will coordinate activities between departments and third parties, coordinate complex meetings and travel arrangements, work with the People team to create a phenomenal company culture and be seen as a valued thought partner in overall business decisions.

**This is an on-site role in New York City, zip code 10014, with the possibility of working from home 1 day a week.**

Responsibilities

  • Triage all incoming requests for C-suite executives and work collaboratively with the CEO’s support team to ensure calendars across multiple time zones and locations are aligned with the priorities of the business.
  • Act as gatekeeper and facilitator to ensure executives are organized and productive and meeting time is spent on high priority activities.
  • Preserve the CEO’s time and create leverage by handling logistics and scheduling for all appointments including personal appointments (e.g., doctor appointments).
  • Prioritize Inbox items for CEO, and for business leaders across the organization as needed.
  • Arrange for local, domestic, and international travel.
  • Coordinate and plan meetings and special events, including the arrangement of all logistics and vendor communications.
  • Expense reporting.
  • Assist and prepare presentations and meeting agendas.
  • Work with Marketing and other business leaders as needed on ad-hoc requests and projects.
  • Work with People Operations on retreats, and other culture-related events, for the entire organization.
  • Support the San Francisco and New York office by ordering supplies and helping to manage the office.

Potential Cross-functional Special Projects

  • Working with executive team to track KPIs and OKRs for the company
  • Sourcing candidates for the talent team via LinkedIn
  • Creating marketing collateral in partnership with the marketing and design teams
  • Drive organizational accountability across a variety of key business metrics
  • Analyze business opportunities, new projects and verticals by researching market trends and opportunities
  • Collaborate with the marketing and design teams in developing internal communication collateral and necessary tools to create clarity and and understanding of business initiatives across the company
  • Support investor relations, including but not limited to monthly updates, reporting dashboards and board meetings
  • Prepare meeting decks for the board, all hands, and exec strategy sessions

Skillset

  • Bachelor’s Degree or equivalent experience.
  • 5 plus years as Executive Assistant supporting multiple C-level business leaders (preferred)
  • Heavy calendar and scheduling management experience, across multiple time zones and locations. Experience working with teams who are remote, hybrid and on-site.
  • Extremely well organized and operates with a sense of urgency and proactiveness.
  • Excellent communication skills, both written and verbal. Demonstrated ability to form strong working relationships across the organization.
  • True go-getter and team player who is proactive with a can-do attitude.
  • Tech-savvy and able to identify tools and shortcuts to automate manual tasks
  • Demonstrated experience and ability to multitask and prioritize with little to no supervision in a fast paced and frequently changing environment.
  • Google suite, Notion, Slack, Zoom, DocuSign, Notion proficiency
  • Excellent professional standards, using discretion while managing confidential information.

Salary - $75,000 - $80,000 annual, depending on experience
