To our next EXTRAORDINARY EXECUTIVE ASSISTANT,
Hello.
We are NFX, a seed stage venture capital fund based in San Francisco led by five General Partners who’ve started ten companies that exited for over $10 billion. We have a dynamic team creating inspired content and building software tools for early-stage founders.
We are looking for a 5-days-per-week in-person Executive Assistant to support two of our GPs in our Hayes Valley office at 34 Page St.
Who Are You?
You thrive working independently. You will be supporting two GPs who work often unpredictable hours, and you will be taking the lead managing their fast-paced lives full of travel and meetings with top founders and investors. You must excel at managing your own time to be as efficient as possible.
You’re a pro at keeping projects and tasks on track. You understand that in a fast-moving venture environment, staying focused and deadline-driven is critical. You proactively prevent schedule drift, flag potential delays before they become problems, and have a natural ability to keep both yourself and the GPs focused on priorities without getting derailed by distractions.
You can make more hours appear each day. You work magic with schedules. You look at a jam-packed calendar and you’re excited by the challenge. You can glance at a crazed schedule and make back-to-back investor and founder meetings, international travel, and last minute calls work.
You love working in person. Face-to-face collaboration energizes you, and you understand that the best EA work happens when you're physically present - reading the room, anticipating and responding to needs in real-time, course-correcting in the moment, and keeping everyone aligned, focused, and on schedule throughout the day. Your presence keeps things fun and moving forward.
You’re AI-literate and curious. Whether it’s using AI tools to streamline scheduling, summarizing decks, or drafting emails, you’re looking for an edge. You naturally reach for AI tools to make things faster, easier, and more seamless. You’re always experimenting with the latest tech to reduce friction, save time, and help the GPs operate better and faster.
Challenges entertain you. We say we need to visit 5 cities across the country in 4 days? You’re booking flights, searching for the easy routes, and finding the best local coffee shops. If your GP needs to cancel at the last minute, you’re already thinking about Plan B (and C).
You’re resourceful and have got a lot of hustle. No task is outside your wheelhouse - if you don’t know how to do something you’ll figure out how to make it happen. We move fast, and you’ll have no problem keeping up.
You don’t have an ego. You’re here to execute and your goal is to make sure your GPs are operating at their peak. You find satisfaction in knowing things are running smoothly because of you - even when no one notices.
For you, life is always on. There’s a blurred line between work and play. You know that sometimes the best work isn’t restricted to 9-5. You go with the flow, you’re flexible, and enjoy the ride.
The core role:
* Coordinate internal and external meetings, you are an expert at Google Calendar and Zoom
* Collect and prepare information for presentations and personal tasks; a form we submitted 6 months ago? You’ll know where to find it.
* Keep priorities clear and timelines on track. You’ll help ensure commitments are met, meetings are starting on time, and the GPs stay focused on what matters the most.
* Coordinate all travel arrangements; taxi, train, airplane all in one day? You make it happen with ease
* Be available for communication to assist with last minute changes to travel and meetings
* Work from our beautiful Hayes Valley office location with SF-based NFX team members
Compensation: $100,000 - $130,000 annual salary, dependent on experience
Healthcare, dental, vision and retirement benefits
The nitty-gritty stuff. If you’re still reading this ... here’s the deal. You’ll be supporting two GPs who are busy, traveling often, and juggling 20+ things at any one time. You’ll need to keep things moving smoothly and are quick to respond when urgent needs arise. One of the most important parts of this role is to act as a guardrail for the GPs - you are keeping schedules and priorities clear. You are able to redirect when things veer off course and ensure deadlines don’t slip. To make all this look easy: you’re going to need 5 or more years’ experience as an EA or similar role, a track record of delighting people, your friends (and even strangers) trust you with their secrets, and the Force runs strong with you.
If this is you, we want to meet you! Today.
